Privacy Policy
Effective: 17 July 2026
This policy explains what personal data VATGUCHER Travel collects, why we collect it, how long we keep it, and the rights you have over it. We have written it to be read, not skimmed: we collect little, we sell nothing, and we use your data only to deliver the service you ask us for.
1. Who we are
The data controller for the personal data described in this policy is VATGUCHER Travel, an independent travel-coordination service operating the website vatguchertravel.com. You can reach us about anything in this policy at vatgucher@gmail.com.
2. What we collect
We collect two categories of information, both provided directly by you:
- Order form data. When you place an order we ask for your name, email address, a contact handle (Telegram or WhatsApp), your citizenship, your country of residence, and — optionally — an intended travel date and any notes you choose to add.
- Correspondence. Messages you exchange with us over Telegram, WhatsApp or email, including any details about your trip that you include in them.
We do not collect data about you from third parties, data brokers or social networks, and we do not build profiles of visitors to this website.
3. Travel documents you share with us
Some services involve reviewing documents you volunteer during service delivery — for example the data page of your passport, an existing e-visa confirmation, or travel bookings. This information can be sensitive, and we treat it accordingly: it is handled confidentially, used only to deliver the specific service you ordered, never used for marketing, and never shared with anyone who is not directly involved in preparing your materials. You are never required to send us a document — you decide what to share and when.
4. Purposes and legal bases
Under the GDPR, we process personal data on the following bases:
- Consent (Article 6(1)(a)) — the checkout form asks for your explicit consent to process the details you enter before the order can be placed. We record that consent, with its timestamp, together with the order. You may withdraw consent at any time by contacting us; withdrawal does not affect processing that already happened, and data we must keep for tax or accounting law is retained on that separate basis.
- Performance of a contract (Article 6(1)(b)) — processing your order details, correspondence and voluntarily shared documents in order to deliver the service you purchased, including pre-contract steps such as answering questions about an order you are considering.
- Legitimate interest (Article 6(1)(f)) — replying to enquiries you send us and keeping a record of that correspondence so we can follow up consistently.
- Legal obligation (Article 6(1)(c)) — keeping order and invoicing records that tax and accounting law requires us to keep.
5. VAT and your country of residence
We ask for your country of residence because EU customers pay VAT (IVA) at their country's standard rate, added at checkout. This detail is used to calculate the correct tax on your order and appears on the related order records. It is not used for any other purpose.
6. Cookies, analytics and local storage
This website uses no advertising trackers and no analytics cookies. It stores two functional entries in your browser's localStorage — your cart and your privacy-banner choice — both of which live on your own device. Page views are counted through a first-party, cookieless mechanism that stores no user identifier and can be switched off entirely by choosing "Essential only" in the privacy banner. Full details are in our Cookie Policy.
7. Who we share data with
We do not sell, rent or trade personal data, and we do not share it with advertisers. The only parties that handle your data besides us are the communication platforms we use to reply to you — Telegram, WhatsApp and our email provider — each of which processes messages under its own terms and privacy policy. If you would prefer to avoid a particular platform, simply contact us through another channel and we will keep the conversation there.
8. How long we keep your data
- Order records (name, email, order details, invoicing data) are kept for as long as tax and accounting law requires, and are then deleted.
- Travel documents shared during service delivery are kept only while your service is in progress. Once the service is complete, we delete them on request — just tell us, and we will confirm the deletion.
- Correspondence is retained so we can refer back to previous conversations if you return; you may ask us to delete it at any time, subject to the legal retention of order records described above.
9. International transfers
Because we reply on international messaging platforms and email, your messages may be processed on servers outside your own country, including outside the European Economic Area, under the safeguards those providers maintain. We keep the data we hold ourselves to the minimum needed to deliver your service.
10. Your rights under the GDPR
If you are in the EU or EEA, you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased, where no legal retention duty applies;
- restrict how we process your data;
- receive your data in a portable, machine-readable format;
- object to processing based on legitimate interest;
- lodge a complaint with the supervisory authority in your country of residence or place of work.
To exercise any of these rights, email vatgucher@gmail.com. We respond to rights requests within one month, as the GDPR requires.
11. Children
Our services and this website are not directed at children under 16, and we do not knowingly collect their data. If you believe a child has provided us with personal data, contact us and we will delete it.
12. Changes to this policy
If we change how we handle personal data — for example, if we later introduce analytics or advertising tools — we will update this policy and the effective date above before the change takes effect. Significant changes will be flagged clearly on this page.
13. Contact
Questions about this policy or about your data: vatgucher@gmail.com or Telegram @vatguchertravel. We typically reply within 1–12 hours.
